How we collect, use, and protect your information

TheraFluence LLC, doing business as TheraFunnel and TheraFunnel.AI (“TheraFunnel,” “we,” “us”) respects your privacy. This Privacy Policy explains how we collect, use, and share personal information when you visit therafunnel.ai, contact us, or use our CRM and practice platform. Effective Date: August 15, 2026  ·  Last Updated: September 28, 2026

The short version:
  • We collect what we need to run our website, sell and support the Services, and bill you.
  • We do not sell your personal information.
  • Client or patient information you store in the platform is handled under your Business Associate Agreement, not this policy (see Section 1).
  • We do not share mobile opt-in information with third parties for their marketing.

1. Scope of This Policy

1.1 What this policy covers. This policy covers personal information about website visitors, prospective customers, and the practice owners and staff who use our Services (“you”).

1.2 What it does not cover. When you use the platform to store information about your own clients or patients (“Customer Data”), we process it on your behalf as your service provider (and, for protected health information, as your business associate under a signed BAA). That information is governed by your agreement with us, the BAA, and your own privacy notices. See our HIPAA Notice.

1.3 If you are a patient or client of one of our customers, please contact your provider about your information.

Please do not submit health information through our marketing website, contact forms, or demo booking. Use your secure platform account instead.

2. Information We Collect

Information you give us: name, email address, phone number, practice or business name, profession and license type, billing details (payment card data is collected and stored by our payment processor, not by us), survey and onboarding responses, demo-booking details, support messages, and testimonials you choose to provide.

Information collected automatically: IP address, device and browser type, pages viewed, referring pages, dates and times, and cookie and similar-technology data.

Information from other sources: Stripe (payment processor), Twilio (phone system provider), and our CRM platform provider.

3. How We Use Information

  • Provide, secure, and support the Services, including onboarding and billing;
  • Communicate with you about your account, updates, and offers (you can opt out of marketing);
  • Improve our website and Services, and understand how they are used;
  • Prevent fraud and abuse and comply with law; and
  • Enforce our Terms of Service.

4. How We Share Information

Service providers. We share information with vendors that help us operate, including payment processing (Stripe), telephone and messaging services (Twilio), our CRM and hosting platform provider, email providers, scheduling tools, and analytics providers. They may use it only to perform services for us.

Our parent company and affiliates. We share personal information with our parent company, TheraFluence LLC (TheraFluence.com), and its other subsidiary companies, including IntensiveFinder.com, TheraSwap.com, SemiPrivatePractice.com, SoloPrivatePractice.com, and PracticalHIPAA.com. We do this for the purposes described in this policy, including providing benefits included with your plan (such as directory listings). This does not include Customer Data or protected health information, which we use only to provide the Services under our agreements and BAA, and it does not include text-messaging opt-in data or consent (see Section 5).

Legal and safety. We may disclose information to comply with law or legal process, protect rights and safety, and investigate fraud or misuse.

Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

With your consent or at your direction.

We do not sell personal information.

5. Text Messaging (SMS)

If you opt in to receive text messages from us, we use your phone number to send account notices, support replies, and, if you agreed, promotional messages. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. Consent to receive texts is not a condition of purchase.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

6. Cookies and Similar Technologies

We use cookies and similar tools to keep the site working, remember your preferences, and measure how the site performs. You can control cookies through your browser settings.

Global Privacy Control (GPC). If your browser or extension sends a Global Privacy Control signal, we treat it as a valid request to opt out of the sale or sharing of your personal information and of targeted advertising, for that browser and, if you are signed in, for your account. You do not need to take any additional step, and we will not charge you more or reduce your service for using it. We do not sell personal information or use it for cross-context behavioral advertising. If that ever changes, we will honor GPC signals before any such use begins.

Do Not Track. Because there is no common standard for “Do Not Track” browser signals, we do not respond to them. We do honor GPC as described above.

7. Data Retention

We keep personal information for as long as needed to provide the Services, meet legal, tax, and accounting obligations, resolve disputes, and enforce agreements. Customer Data is retained and deleted as described in your Terms of Service and BAA.

8. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Your Choices

  • Marketing emails: use the unsubscribe link in any message.
  • Text messages: reply STOP.
  • Cookies: adjust your browser settings.
  • Account information: contact us to access, update, or delete it.

10. Your U.S. State Privacy Rights

Residents of certain states (for example California, Colorado, Connecticut, Texas, Utah, and Virginia) may have rights over their personal information. Depending on where you live and whether the law applies to us, these may include the right to: know and access the personal information we hold; correct inaccuracies; delete it; obtain a portable copy; opt out of sale, targeted advertising, or sharing for cross-context behavioral advertising; limit use of sensitive personal information; and not be discriminated against for exercising your rights.

How to exercise your rights. Email [email protected] or write to the address below. We may need to verify your identity. You may use an authorized agent. If we deny a request, you may appeal by replying to our response, and you may contact your state attorney general.
